What You’ll Do as a Client Care Coordinator:

Client Communication and Support:

  • Welcome clients via phone, email, text, and in person, ensuring they feel valued and supported.
  • Manage the intake process by matching clients with therapists, scheduling appointments, and reviewing intake paperwork.
  • Provide clear, compassionate communication to answer questions and resolve client concerns.

Administrative and Office Management:

  • Uphold HIPAA compliance by securely managing client health information.
  • Handle administrative tasks, including verifying insurance, generating invoices, processing payments, and managing office supplies.
  • Maintain a welcoming, organized, and efficient office environment.

Team Collaboration and Reporting:

  • Coordinate with therapists to manage schedules and ensure accurate client matches.
  • Report daily metrics and work towards achieving individual and team targets.
  • Contribute to a positive, professional, and collaborative work environment.

What We’re Looking For:

Competencies:

  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Comfort with administrative tools like Google Workspace and TheraNest (or similar platforms).
  • Ability to work independently with self-accountability while supporting team goals.
  • Skilled in problem-solving, particularly with client concerns or scheduling challenges.

Preferred Qualifications:

  • Experience in customer service or administrative roles, ideally in healthcare or mental health.
  • Familiarity with insurance verification and billing is a plus.

The Details:

  • Schedule: Full-time, 40 hours per week (7:45 AM – 4:30 PM ; 11:30 AM – 8:00 PM).
  • Pay: $15-$18 per hour, based on experience.
  • Location: Juliet or Clarksville
  • Physical Requirements: Prolonged periods of sitting; no heavy lifting or strenuous activity required.
